What We Do With the Information We Gather

We require this information to understand your needs & provide you with a good service & for the following reasons:

  • Internal record keeping (we must keep medical records for 7 years)

  • To help to assess your needs & provide treatment or referral onto another practitioner (e.g. GP) if applicable

  • We may use the information to improve our services

  • With your permission to sent you marketing, appointment confirmation/reminders & exercise programmes via e-mail

Systems We Use to Hold the Data

  1. Cliniko - This is our booking system & holds details such as name, contact telephone number, e-mail address, treatment notes & exercise programmes.

  2. Rehab My Patient - This system is sometimes used to prescribe exercise programmes & only requires name & e-mail address. Rehab My Patient have issued their own GDPR statement

  3. Mailchimp - We send out regular newsletters & will continue to do so. Only people who have opted in will receive these mailings going forward. The only data held by Mailchimp is name & e-mail address

  4. Notes - Some treatment notes are held on paper & these will be kept for 7 years. If you do not come to see us in 7 years, these notes will be confidentially destroyed.

Website Cookies

These are small pieces of data that live in your browser & mean that you don’t have to repeat yourself every time you go back to a website. This includes things such as understanding & saving your preferences for future visits.

Google Analytics

We use Google Analytics to learn more about our Users’ activity. This does not collect specific information about you, it simply collects information such as page views, what browser you used & how long you stayed. None of this is tracked back to you as an individual user.

Mailing Lists

As part of the registration process for our monthly e-newsletter, we collect personal information. We use that information for a couple of reasons: to tell you about stuff you’ve asked us to tell you about; to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don't rent or trade email lists with other organisations and businesses.


We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice.
